Navigate: Closed Tax > Tax Sale > Property Sale > Publication List

Description

Use this task to generate a report and/or export file containing information derived from a tax sale that has been created and provide it to 3rd party vendors (printers, internet sale providers, etc.).

NOTE: Data elements you can include in exports can also be found in the File I/O export process for the Advertising List Export.

If a crystal report is desired as output, submit a request with the necessary data and format identified.

Steps

  1. On the Print Publication List screen, make a selection from the Sale Description drop-down list. The remaining header information is populated with data based on your selection.
  2. NOTE: To list only non-expired sales in order of Sale Year in this drop-down list, specify a value in the Tax sale expiration period (days) application setting.

  3. Select the Create Publication Event checkbox to create a system event and, if configured for your jurisdiction, a workflow for processing from the View My Worklist screen.
  4. Select the Save History checkbox to save a history of the printing.
  5. Select the Use Newspaper Mapping checkbox to use a defined mapping.
  6. NOTE: See Setup/TAG Mapping for configuration information.

  7. Optionally, make a selection from the Report Template drop-down list.
  8. NOTE: Report Templates are set up via Tax > Delinquent > Advertising > Advertising Templates. If you requested a Crystal Report as output, select it from this drop-down list.

  9. Make a selection from the Select Type of Advertising drop-down list.
  10. Make a selection from the Participation Choice drop-down list.
  11. Enter or select the advertising date.
  12. In the Print Options panel, make a selection from the drop-down lists.
  13. In the Export Options panel, make a selection from the drop-down lists if exports are needed.
  14. NOTE: See Dependencies, Prerequisites, and Setup at the end of this topic for information on configuring File I/O in order to create Export Options.

  15. In the Schedule Options panel, enter or select the date and time to generate the list.
  16. Click Print List in the Command Item bar to submit the request to batch, which opens the Monitor Batch Processes screen.
  17. On the View Batch Process Details screen, click the hyperlink in the Reports panel.
  18. Click Close to end the task.

Dependencies, Prerequisites, and Setup

  • A Tax Sale with tax sale items must exist.

  • If you select the Use Newspaper Mapping checkbox, then the TAG Area must be defined for the TAG via Tax > Levy Management > Tax Entity Maintenance > Tax Authority Groups.

  • The Publication List Crystal Report can be programmed to display specific description information for the TAG Area if the jurisdiction desires this. In order to display this information, the Tag Area UDF will need to be configured for each tag area to display the description. It can be configured to say, for example, "In the City of XXXX," or "Outside the City."

  • Publication List Data for Outbound Interface with 3rd Party Vendor: The tax sale advertising list can be exported. To set this up:

    1. Click Configuration > File Input/Output > Input/Output File Configuration.

    2. On the Manage Input/Output File Configuration screen, select Advertising List Export from the Process drop-down list and click Search.
    3. On the Manage Input/Output File Details screen, click Edit for Tax Sale Advertising List Export and configure the fields as applicable.

    4. Click Save in the Command item bar.
    5. Click Previous to return to the Manage Input/Output File Configuration screen, then select Tax Sale Export from the Process table drop-down list and click Search.

    6. Click Edit for Tax Sale Export, configure the fields as applicable, and click Save in the Command Item bar.

    7. Click Tax > Delinquent > Advertising > Advertising List.

    8. On the Print Advertising List screen, make a selection from the Delinquent Group drop-down list.

    9. In the Export Options panel at the bottom of the screen, select Tax Sale Advertising List Export from the Create Tax Sale Interface Export drop-down list.
    10. Click Print List in the Command Item bar and check that the advertising list export file is printed.
    11. Click Tax > Tax Sale > Property Sale > Publication List.

    12. On the Print Publication List screen, make a selection from the Sale Description drop-down list.
    13. In the Export Options panel, make a selection from the Create tax sale interface export drop-down list, then click Print List in the Command Item bar.
    14. Click Tax > Tax Sale > Property Sale > Tax Sale Export.

    15. On the Search for Tax Sales screen, enter your search criteria and click Search. Click to select an item in the Tax Sales panel.
    16. On the Export Tax Sale Information screen, select Tax Sale Export from the Export Format drop-down list.
    17. Click Export in the Command Item bar.

Tips

  • A Tax Sale application setting called Allow Property to be in Multiple Secure Sales also allows the tax sale in the publication list to be in multiple secure sales. When set to True and a tax sale with multiple items is cashiered, the status of any tax sale item also in another tax sale is set automatically to Non Participant in the non-cashiered tax sale with a Change Reason of Sold in Another Sale.
