User-Defined Fields

Description

Define fields for maintaining user-defined data in various modules of Aumentum. User-defined fields can be attached to a specific bill for searching in the Info Center, correspondence, or reporting on Advertising List.

Steps

  1. On the Search for Delinquent User-Defined Fields screen, enter a Label name. You must enter something in this field before searching. If you want to return all results enter an asterisk (*) in the text box. You can also enter a partial label followed by an asterisk (*) to display multiple results beginning with the same characters.

  2. Click Search. The search results appear in the Search Results grid.

  3. Select the user-defined field that you want to work with from the Search Results grid. The Maintain User-Defined Field screen displays.

  4. Click New on the task bar if necessary to clear for a new entry.

  5. Enter or edit the identifying information for the UDF.

    • Label that will identify the field in the Info Center or on a report.

      NOTE: The Label, Data type, and Field length can only be edited if you are updating a user-defined field.

    • Select the data type.

      • Character - Data-entry field which accommodates letters, numbers, and symbols, up to 255 characters. Use the memo data type for fields that must accommodate more characters.

      • Date - Field requires the entry of a date and includes a date picker.

      • Decimal - Data-entry field which accommodates positive and negative numbers, including decimals. Note: When entering a decimal for any UDF rate fields on a screen, enter percentages as in the following examples:

        • 3.17% would be entered as 0.00317

        • 50% would be entered as 0.5

      • Formula - This functionality is not yet available for the Delinquent module.

      • Label - Displays as a label on the screen for instructional purposes. No data entry is available. This is used only for setting up value modifier Application Types in Assessment Administration.

      • Memo - Data-entry field which accommodates letters, numbers, and symbols, up to 4000 characters.

      • Numeric - Data-entry field which accommodates whole numbers only (positive integers and zero).

      • Query list - This functionality is not yet available for the Delinquent module.

      • Systype - This functionality is not yet available for the Delinquent module.

      • Yes/No - This functionality is not yet available for the Delinquent module.

    • Enter or edit  the Field length. The default length is 255.

    • Type in the sequence number for the display order. When displayed on a screen or report, these fields will display in the order you indicate.

  6. Click Save to save your changes within the grid.

  7. Click List to return to the search results or click Close to end the task.

Common Actions

New Field - Navigate to the Maintain Delinquent User Defined Fields screen to create a new UDF.

User Data Entry - attach user-defined fields to revenue objects

Tips

If the search returns more than one result, an item must be selected in order to continue to Maintain User-Defined Field.

Aumentum Delinquent user-defined fields set up through the Configuration menu are not available in the Aumentum Delinquent User Data Entry. Likewise, user-defined fields set up through Aumentum Delinquent cannot be found and maintained through the Configuration menu option.

Dependencies

  • Various tasks in the modules allow for entry of user-defined fields. You can attach user-defined fields to various screens in various modules, including to bills in Delinquents, to project special assessments, to tax fund details in Levy, to TIF districts, and to the Records > Configuration > Sales Information Form.

  • The fields must be set up here and assigned the correct module and object type before they will be available in another task. For example, for TIF Districts, user-defined fields must be set up for the Levy Management module and the Tax Increment Financing object type.
