Description

Map charge lines to your tax bills and Truth in Taxation notices. You can enter the text that prints on the lines of the bill/notice, the type of line, and the order of the lines. You can select TAFs and/or TIFs and group them together to print as a dollar amount on a charge line. You must map all TAFs before you can print a tax bill; it is not necessary to map TIFs although some jurisdictions do.

Step

  1. On the Maintain Charge Maps screen, click Add or click Edit for an existing item in the Report Charge Mappings panel.

  2. On the Add or Edit Charge Map Lines screen, enter the Charge map name so you can easily identify the charge mapping. You can edit the charge map name only if you are creating a new charge map line.

  3. Select the checkbox to Exclude special assessments from the charge mapping.  You can select this checkbox only if you are creating a new charge map line.

    NOTE: This checkbox is usually selected when setting up charge map lines for Truth and Taxation Notices because these notices do not include information on special assessments.

  4. Select the Tax year you want to create charge map lines for. The list of available mapping lines and the number of unmapped TAFs are updated if you change the tax year.

  5. Click Edit in the grid row of an existing charge map line to advance to one of the following screens based on the Line Item Type:

      1. Enter the line Name to help you identify the single amount line.

      2. Enter the Display order. This is the order in which the line appears on your tax bill.

        IMPORTANT: This number must be unique.

      3. Check the checkbox to Force no tax rate if you do not want a forced tax rate.

        NOTE: This checkbox may not apply to your jurisdiction.

      4. Check the checkbox to Display when zero if you want to print the charge line on the tax bill even if the charge amount is $0.00.

      5. Select the Display As from the drop-down list.

      6. NOTE:  Use this field to set up a line item, such as for SPAs or Debt Services, attach all SPAs or Debt Services to that line item, and then print them individually grouped by SPA or grouped by TA (suppressing zero lines for both) by selecting Single Line(default). When any of the other three options is selected, a Maximum number of lines to display field becomes available with the default of 0. Accept the default or enter the maximum number of lines.

      7. Select your filtering criteria in the Available Item Filter panel. Using the filter limits the Tax Authorities in the Available Items panel.

        • Choose the Content level. Choose tax authority fund, TIF, or source value type.

        • Select a Tax authority.

        • Select an Authority type. Choose from all, business license, tax authority group, trust tax, or special assessment.

        • Select an Authority category. Choose from state, county, school, city, bond, or other.

        • Select a Fund sub-category. Choose from all or default.

        • Select the Tax year you want to search in. If you change the tax year, the list of available items is updated.

        • Select a Fund. Choose all or select a particular fund from the list.

        • Select a Fund type. Choose from operation, bond, special assessment, or tax credit.

        • Select a Fund category. Choose from all or default.

        • Click Apply Filter. Matching results display in the Available Items panel.

      8. Select the checkbox next to the items you want to add in the Available Items panel.

      9. Click Add Items in the Available Items title bar to move the selections to the Selected Items panel.

        • Check the Available Items checkbox and click Add Items to move all items to the Assigned Items panel.

        • Check the checkbox next to the items in the Assigned Items panel and click the Remove Items button to move them back to the Available Items panel.

      10. Click Finish to the Add or Edit Charge Map Lines screen.

      1. Enter a Line name. You can define a Line name only if creating a new line; if editing, the existing Line name displays, and you cannot edit it.

      2. Enter a Display order. This is the order in which the line displays on your tax bill. The display number must be unique.

      3. Check the Display line if amount is zero to include the line in the bill, even if the amount is zero. This checkbox is available only when creating new lines.

      4. Accept the default Tax year or select it from the drop-down list.

      5. Click Add Item or Edit on any existing item in the Report Charge Mapping Item Group panel to navigate to the Set Up Single Amount Lines screen to create a new single amount line to add to this group line. You return to this screen when you click Finish on the Set Up Single Amount Lines screen.

        • Repeat the previous applicable steps until you have added all the single line items you need.

        • Select any lines and click Remove Item(s) to remove them from the Report Charge Mapping Item Group panel.

      6. Click Finish to return to the Add or Edit Charge Map Lines screen. Your new group line displays in the Report Charge Mapping Lines grid. If only one charge line is mapped to a group line, it displays on the bill as a single amount line.
      1. Enter a Name to help you easily identify the total amount line.

      2. Enter the Display order. This is the order in which the line displays on your tax bill.

        IMPORTANT: This number must be unique.

      3. Select the checkbox next to the items in the Available Lines panel you want to add in the Lines to Include in Total panel.

      4. Click Add Items in the Available Lines title bar to move the selections to the Lines to Include in Total panel.

        • Check the Available Lines checkbox and click Add Items to move all items to the Lines to Include in Total panel.

        • Check the checkbox next to the items in the Lines to Include in Total panel and click the Remove Items button to move them back to the Available Lines panel.

      5. Click Finish to return to the Add or Edit Charge Map Lines screen.

  6. Click Remove Line(s) with any line(s) selected to remove them. Click OK on the confirmation pop-up.

Copying Charge Maps

  1. On the Add or Edit Charge Map Lines screen, click Copy in the Command Item bar.

  2. On the Copy Charge Maps screen, select the Destination tax year.

    The number of TAF mappings available for copying from the source year to the destination year are displayed.

  3. Click Copy. A message displays with the number of TAF(s) that were successfully copied from the source year to the destination year.

  4. Click Finish. The changes you made are applied to the Tax Bill Charge Map; however, you must also click Save on the Add or Edit Charge Map Lines screen.

    • Click Previous to return to the Add or Edit Charge Map Lines screen.

Tips

The number of unmapped TAF(s) displays at the top right of the screen. Map all TAFs to print bills and notices.

The Number of items updates automatically as you add more charge map lines.

Dependencies, Prerequisites, and Setup

  • You must associate all TAFs with a tax bill charge mapping for the current year and the prior year before you can print/export bills or Truth in Taxation notice and before you can process selected items.

Configuration Menu

  • Maintain Functional Calendar - Tax years must be set up in the functional calendar.

Levy Management

  • Tax Funds - Tax Authority Funds must be set up before you can map the charges.
