Description
Certain types of surplus can be designated as refunds automatically based on age, dollar amount, source of surplus, type of surplus, correction reason code, and revenue source.
Use this task to review and select the various surplus items to refund en masse.
NOTE: The existing refund processes of exporting to the GL (General Ledger) as well as refund interest (where applicable) are still honored using the Refund Review Queue process. The batch job reviews the surplus and takes one of four actions:

Steps
-
On the Review and Select Refunds screens, select one or more items in the Search Results panel and click Next.
- Click the Expand + (Plus) button to expand the Recipient details and, depending on the item selected, the Claimant details.

Select the item(s) from the list by checking the applicable checkbox(es) and click Next to navigate to the Post Refund screen where you can select:

A Reason code
-
Combine, which combines the selected items into a single refund

Select any item(s) from the list.

Click Print Listing to generate the Refund/Overpayment Listing Report in a separate browser window.

Select any items from the list.

Click Print Notices to generate a list of notices in a separate browser window; click Surplus History Report to generate a Surplus History report for the selected refunds to batch processes.

Click Close to end the task.

Set automated refund criteria rules.

Map refund workflow criteria rules.
Configuration > Security and User Maintenance
User security is available for the Refund Review Queue. To set this:

Go to Configuration > Security and User Maintenance > Roles > Maintain a Role.

Click Edit on an existing roll or create a new roll to advance to the Edit Role Details screen.

In the Granted Menus Item panel, select Tax > Accounts Receivable.
NOTE: If no items are in the Granted Menus Item panel, click on Tax > Accounts Receivable > Manage Payments in the Available Menus Item panel, and click Add Selected to move it to the Granted Menus Item panel. -
Click Tax > Accounts Receivable > Manage Payments > Refund Review Queue > Details in the Granted Menus Item panel to advance to the Edit Additional Role Details screen.

Set rights for each item in the list as applicable to the user role.

Click Save.
NOTE: Add users to specific roles via Configuration > Security and User Maintenance > Users > Select or Add a User > Maintain User Information.
Configuration > Application Settings
To combine refunds when refund names and addresses are the same, set the application setting Combine refunds during the refund workflow batch processto true. To set this:

Go to Configuration > Application Settings > Maintain Application Settings.

Select the Setting Type of Effective Date.

Select the Filterby module of Tax Accounts Receivable.

Click Edit on the Combine refunds during the refund workflow batch process application setting.

Select the checkbox to set it to true (false if the default).
