Description

The Transfer Detail task on the Maintain Transfer Details screen enables you to view and/or change transfer information. One of the most common reasons to use this task is to change a transfer's validity codes. The Transfer Detail task can be accessed directly from the Maintain Revenue Objects screen (D - Transfer Detail) or from the Finish Transfer screen during the Transfer task. If your jurisdiction is integrated with CAMA (ProVal Plus), transfer detail can also be viewed in ProVal by going to the ProVal Administration menu and choosing Update Sales Information.

NOTE: All Legal Party associations with a revenue object are captured and reported during a transfer.

Steps

  1. On the Maintain Revenue Objects screen, select D - Transfer Detail from the Task drop-down list.
  2. Optionally, make a selection from the Transaction Type drop-down list.
  3. Click Next.
  4. On the Search for Transfer screen, select the checkbox for how you want to search and click Search.
  5. On the Records Search for Revenue Object screen, enter your search criteria and click Search.
  6. Click on an item in the search results.
  7. On the Maintain Transfer Detail screen, click Finish or Finish/Print.

Dependencies, Prerequisites, and Setup

Validity Codes

IMPORTANT: Validity code values are initially set in the Validity Code systype (Configuration > Systypes > Validity Code). Beginning with Aumentum 8.6.0, the assessor in each jurisdiction uses the Default Validity Codes task (Records > Config > Default Validity Codes) to define the default validity code values Aumentum Records assigns to each transfer based on transfer type. The assessor sets the defaults for each type of ownership transfer for:

  • Local Ratio Code

  • Local Analysis Code

  • SOA Ratio Code

  • SOA Analysis Code

When Aumentum and ProVal are integrated, transfer transactions originate in Records. Default validity codes are assigned to each transfer based on the type of transfer and the appraiser’s selection of the default values. If necessary, assessors can change the validity codes for a particular transfer either using the Transfer Detail task in Aumentum or the Update Sales Information task in ProVal (Administration menu > Update Sales Information). Global Change Reason/Statutory Reference Pop-up Options

To set Change Reason and Statutory Reference pop-ups to display automatically when you make changes on various Corrections screens, including the Maintain Transfer Detail screen, go to Configuration > Global Scope Maintenance. Select Global Reason Code and Statutory References, respectively, for Scoping Object, Records for Module, and the Task. Select descriptions from the Available panel and click the right double arrow >> to move them to the Assigned panel. Click Save and Close.

To set Change Reason and Statutory Reference pop-ups to display automatically when you make changes on various Corrections screens, go to Configuration > Global Scope Maintenance. Select Global Reason Code and Statutory References, respectively, for Scoping Object, Records for Module, and a Task (e.g., corrections maintain interest). Select descriptions from the Available panel and click the right double arrow to move them to the Assigned panel. ClickSaveandClose.

Records Configuration

  • The Sales Information Form determines the particular Maintain Transfer Detail screen data fields that are displayed. The Sales Information Form is also a Records application setting. If the Effective Date is not set for the current form, an error message is displayed indicating that, and only certain fields display. In this event, you will need to go to Configuration > Application Settings > Maintain Application Settings. Set the effective date and select the module of Records. Click Edit on the Sales Information Form appsetting, select the applicable form, click Apply and then Save. Set up the form via Records > Configuration > Sales Information Form Setup > Set Up Sales Information Form Type.  The Sales Information Form is also a systype category and needs to be set up and effective dated. Go to Configuration > Systypes > Select or Add a Systype. Set the Effective Date and select the Systype Category of Sales Information Form. Click New to create a new form or select an existing one to edit it on the Edit a Systype screen and define the applicable data.

  • UDF data types are available for set up on the Set Up Sales Information Form Type screen. The UDF fields, details, and formulas you define for these are displayed on the Maintain Transfer Details screen. These data types, which cannot be edited on the Maintain Transfer Detail screen, are:

  • FORMULA. This UDF is used to calculate the sales price from the Transfer Tax. The calculation for this is Transfer tax / .0011 = calculated sales price. The calculated sales price then displays in the Calculated Sales Price UDF of the Document Queue available via Records > Document Queue Maintenance > Maintain Document Queue.

  • QUERYDATA. This UDF allows the ability to write a query to fetch single data (first row's description column) from the data.

  • QUERYLIST. This UDF allows the ability to write a query to fetch multiple rows.

    IMPORTANT: These data types, formulas, and queries require special setup. Refer to the Prerequisites section of the Sales Information Form Setup topic for details.

Configuration

  • An application setting controls the Edit the transfer's details after finish checkbox on the Finish Transfer screen. When set to True, the checkbox is checked by default, and you automatically navigate to this screen when you click Finish on the Finish Transfer screen. To set this up, go to Configuration > Application Setting > Maintain Applications Settings, and select Effective Date as the Setting type and Records as the Filter by module. Click Edit on the appsetting, Include transfer detail screen in Transfer workflow. Check the checkbox and click Apply and then Save to default the checkbox to always checked, meaning you will navigate automatically to this screen when finishing on the Finish Transfer screen.

  • Revenue objects require security rights. If you do not have view rights, the Primary Situs field displays the default security message of CONFIDENTIAL ADDRESS. When security rights for user roles do not allow read/write privileges for revenue objects, users are not allowed to change ownership, create or maintain mailing or situs addresses, create or update revenue objects, or set the revenue object effective date.

  • An application setting called Confidential revenue object message is available. If you are the administrator, to set this, go to Configuration > Application Settings > Maintain Applications Settings, set the effective date, and select the Sort by module of Records. Enter the message you want to display.

  • To set security rights for this task, go to Configuration > Security > Roles > Maintain a Role > Edit > Edit Role Details > Non Menu Items > Edit Non-Menu Item Role Details. Select Records and edit the rights for Confidential revenue object message. When performing searches for revenue objects or when performing various tasks associated with revenue objects, if read rights are not set, the mailing address and situs address information are not displayed but are replaced by the message defined.

  • When a property designated as confidential is transferred, the property is no longer confidential. If  an Undo Transfer is performed, the property is not set back to a status of confidential. You will need to use the task, Records > Other Revenue Object Maintenance > Revenue Object Information Changes > Change Revenue Object to set the property back to confidential status.

Tips

If your Aumentum installation is integrated with CAMA (ProVal Plus), the transfer detail data, including validity codes, can be viewed and maintained within Aumentum or ProVal. See Records for more information. Also, be sure to select the correct ProVal version in the Records application setting, CAMA System.

At the conclusion of the transfer detail task, Records updates the Aumentum Event tables. See Records.
