Description

Revenue accounts are user-defined collections of one or more associated legal parties and revenue objects that are related for convenience. They group revenue objects of an owner or legal party to facilitate tracking the movement of money in Aumentum. For example, Aumentum Distribution requires agencies to be set up as organization legal parties with a revenue account; payment activity is tracked and reported through the revenue account. In Cashiering, the miscellaneous charges can be associated with a revenue account.

IMPORTANT: A revenue account is created automatically for each new revenue object. Use this task to change the revenue account and/or contact information for a single revenue object or for a group of revenue objects. This is the task to use if you want to assign a revenue object to a specific revenue account. In addition, there is a related task, Revenue Account Contacts, which you can use to create new revenue accounts or to change the contact information on existing revenue accounts. Steps

  1. In the Records Search for Revenue Object screen enter your search criteria and click Search.

    NOTE: You can select a default value for the Revenue Object Type drop-down list. For example, if you work primarily with filings, you can set the default so that Filing is the default return value for your revenue object searches. To set this preference, click Configuration > Security and User Maintenance > Users. For Set default search filter to, make a selection from the drop-down list.

    Revenue Object

    Revenue object PIN range, AIN range, and/or Geocode range.

    To enter just one PIN, AIN, or Geocode, enter the same value in both fields. If entering a PIN, enter a formatted or unformatted PIN; enter either the full PIN or a partial PIN. If you enter an unformatted PIN, the search may return more parcels than you expect. For example, a search for R123 will return R12-3* and R1-23*. For more information about PIN masking/formatting. See Records for more information about formatted and unformatted PINs.

    Party

    Legal party or owner name, beginning with the last name. For example, JONES JOHN. You can use a partial name.

    Regardless of the users' security level, confidential legal parties will not display in the search results when the "actual" name is used as the search criteria. Users must know and use the confidential party's "display" (fictitious) name as the search criteria when searching by name.

    Situs Address

    Situs address, the physical property address..

     

    Account

    Revenue account range.

    To enter just one revenue account, enter the same value in both fields.

    Property Description

    Platted, Unplatted or Free form.

    Metes and Bounds(Free Form) - Records searches for and displays any revenue objects that have a description that begins with the value you enter in the Property Description search criteria field. Platted- Select the subdivision. Optionally, you can also enter the lot and block. Records will search for and display any revenue objects that contain your selected subdivision and lot/block in their property descriptions,
    Unplatted (RSS -Rectangular Survey System) - Enter as much information as you know into the following search fields; some are required; wild-card searches are not allowed.

    • Section Number Ranges- You must enter a least one section number range; this is required. For example section number 01 to 02. You can optionally enter a second section number range, such as section number 11 to 12. You cannot search more than four sections in one search.

    • Quarter-Quarter Section- Enter the quarter-quarter section if you know the value (optional).

    • Quarter Section- Enter the quarter section if you know the value (optional).

    • Township- Enter the township; this is required.

    • Range- Enter the range; this field is required.

    • Government Lot- Enter the government lot number if appropriate (optional).

    IMPORTANT: Do not attempt searches that only use the following: (1) Quarter Section, (2) Quarter-Quarter Section, or (3) Quarter Section and Quarter-Quarter Section. These searches will yield too many results to be useful and will negatively affect system performance. Also, if the property description contains leading zeroes, be sure to enter them in your search criteria (for example, township 02).

    Tax Authority Group

    Tax Authority Group selection from the drop-down list.

     

    Mailing Address

    Any portion of the mailing address.

    Enter or select any or all of the street number, pre-directional (N/S/E/W), Street name, Street type, Post-directional, City, State, Postal Code, Unit type, and Unit.

    Alternate Communication

    Communication type and value.

    Select the type, such as cell phone, home phone, email, website, etc, and then enter the associated value in the Value field.

    Identification Numbers

    ID type and value.

    Select the type, such as social security number, driver license number, federal identification number, etc., and then enter the associated value in the Value field. NOTE: The type of identification number list is secured through Role setup. You will only see and can only work with the type of identification numbers for which you have security clearance.

    User-defined Fields (UDFs)

    Drop-down list.

    Make a selection from the drop-down list to add a search field.

    • Click Clear to start a new search.
    • Click Close to end the task.
  2. In the Records Search Results for Revenue Object screen, select the checkbox for one or more items and click Next.

    NOTE: Make a selection from the drop-down lists to filter the search results.

To change the revenue account for a particular PIN:

  1. In the Maintain Revenue Accounts screen, click Change in the Account column.

  2. In the Records Search for Revenue Account screen, enter your search criteria and click Search.

  3. In the Records Search Results for Revenue Account screen, make a selection from the Search Results panel. You automatically return to the Maintain Revenue Accounts screen and the Account column is updated with your selection.

To change the contact information for a particular PIN:

  1. In the Maintain Revenue Accounts screen, click Change in the Contact column.

  2. In the Records Search for Legal Party screen, enter your search criteria and click Search.

To change the revenue account and/or contact information for all of the selected revenue objects:

  1. In the Maintain Revenue Accounts screen, click Change All.

  2. In the Records Search for Revenue Account screen, enter your search criteria and click Search.
  3. In the Records Search Results for Revenue Account screen, make a selection from the Search Results panel. You automatically return to the Maintain Revenue Accounts screen and the Account and Contact columns are updated with your selection.
  4. NOTE: Whether you select Change All or Change for one record only, the Records Search for Revenue Account screen opens so that you can search for and select a different contact and/or revenue account to assign to the account(s). If necessary, you can create a new revenue account during this process. The contact information associated with the revenue object you select also becomes the contact information for the revenue object(s). As such, this step changes the revenue account and contact information for the revenue object(s).

  5. Click Finish to save your changes and close the screen.
