Description

On the Document Queue Maintenance screen, you may not encounter all of the screens, tasks, and steps described in this topic. For example, certain screens are bypassed if the information is not required.

Riverside, California

  • The Assessment Administration effective date integer application setting Transfer Exclusion Hold Timer defines the number of days to hold off an appraisal when a transfer is in progress. When set, the timer information is used in combination with the Reappraisability status set on the Maintain Beneficial Interests screen in this task to determine the number of days to hold off. Set this as applicable to your jurisdiction:

    1. Go to Configuration > Application Settings > Maintain Application Settings.

    2. Select the Setting Type of Effective Date and the Filter By Module of Assessment Administration.

    3. Click Edit on the Transfer Exclusion Hold Timer setting and set the days as applicable to your jurisdiction.

    4. Click Save and Close.

Steps

  1. Maintain document queue  - maintain multiple transfer documents in the queue, such as defining the document status, advancing to various screens to maintaining document details, and beginning a transfer.

  2. Create new documents and add them to the queue - Add documents to the records document queue.

    NOTES:

    • Aumentum assigns documents that are imported via the Recorder Interface a document sequence number that starts with 1.

    • The same document number can be used in the queue workflow as long as the document has the same effective date.

  3. Maintain Notes - Maintain notes about the document.

  4. Edit Document Data - Select the revenue objects and grantees.

  5. Edit Queue Document - Edit information for the document in the queue and optionally define a document sequence number.

  6. Edit Document - After clicking Transfer on the Maintain Document Queue screen, edit document details, such as task/subtask (transfer, create legal party associations, etc.), document type/subtype, etc.

  7. Maintain Chain of Title - After clicking Transfer on the Maintain Document Queue screen, this screen displays only for out of sequence transfers. Accept the sequence or for transfers with time conflicts, define the sequence by defining the record time or the sequence.

  8. Maintain Beneficial Interests - Edit the transferred to information, if necessary, and define beneficial interest details, such as survivorship, role, etc.

  9. Verify Transfer - Verify transfer information including transferred to and transferred from information, document information, and associated legal parties.

  10. Verify Chain of Title Details - This screen displays only for out of sequence transfers. Use this screen to verify the transfer sequence is correct for out of sequence transfers.

  11. Maintain Transfer Detail - Maintain details, such as buyer, seller, and mortgage details.

IMPORTANT: When initiating multi-year/future year transfers, set the Effective Date as applicable on your home page before loading the Document Queue Maintenance screen.

Prerequisites

The Sales Information Form determines the particular Maintain Transfer Detail screen data fields that are displayed. Set this up via Records > Configuration > Sales Information Form Setup > Set Up Sales Information Form Type.

Also, Sales Information Form is a systype category and needs to be set up and effective dated. Go to Configuration > Systypes > Select or Add a Systype. Set the Effective Date and select the Systype Category of Sales Information Form. Click New to create a new form or select an existing one to edit it on the Edit a Systype screen and define the applicable data.

Sales Information Form is also an application setting that needs to be set for this task. Go to Configuration > Application Settings > Maintain Application Settings. Select the Setting type of Effective date and the Filter by module of Records. Click Edit on the Sales Information Form application setting. Select the form that you have created on the Set Up Sales Information Form Type screen to use that as the default.

Five application settings were created for the Maintain Beneficial Interest screen:

  1. The Allow entry of Original transferer On Maintain BI page application setting shows the Original Transferer field if set to true. If set to false, this information is not required on the screen.

  2. The Allow entry of Reappraisability On Maintain BI page application setting shows the Reappraisability field if set to true. If set to false, this information is not required.

  3. The Allow entry of Legal Party Role Subtype On Maintain BI page application setting shows the Legal Party Role Subtype field if set to true. If set to false, this information is not required.

  4. The Allow entry of Excluded Percent On Maintain BI page shows the Excluded Percent field if set to true. If set to false, this information is not required.

  5. The Allow entry of Excluded Reason On Maintain BI page shows the Excluded Reason field if set to true. If set to false, this information is not required.
