Description
Use Mailing Address Barcode Setup task to set up USPS mailing address universal postal barcode information, also called Intelligent Mail Barcode. The barcode defaults you define using this task are used for mass mailings, for example, for printing/mailing bills in the Billing module. Aumentum Records also includes a batch process for mass updating and applying barcodes to revenue object addresses, which is typically performed before mass mailings.
NOTE: When creating a new legal party or editing an existing legal party and adding the mailing address or editing the mailing address, Aumentum automatically synthesizes the postal code you enter (e.g., 5-digit or 9-digit ZIP, such as 11111 or 11111-1111) with the new Intelligent Mail Barcode. When using the Update Intelligent Mail Barcode function in Aumentum, postal codes are automatically updated on these screens to conform to the USPS standard for Intelligent Mail Barcode.
Please note the following about Intelligent Mail Barcode:
-
The Intelligent Mail Barcode is a Postal Service barcode used to sort and track letters and flats beginning in 2006. The Postal Service requires use of the Intelligent Mail barcode to qualify for automation prices beginning May 2010.
-
The Postal Service promotes use of the Intelligent Mail barcode because it expands the ability to track individual mail and provides more options and information about the mail. The Intelligent Mail barcode must contain a proper routing ZIP Code™, a valid Mailer ID and a Service Type ID to satisfy the criteria for reduced automation prices.
-
The easiest way to apply for a Mailer ID is to contact the local Mailpiece Design Analyst (MDA). If you do not know who your local MDA is there is an easy lookup tool on Postal Explorer at http://pe.usps.com or at http://pe.usps.com/mpdesign/mpdfr_mda_lookup.asp.
-
IMPORTANT: A Records application setting called IM Barcode Max Zip code Characters (5, 9, 11) determines the maximum number of postal code characters for the barcode. Set as applicable.
-
IMPORTANT: To check whether the barcode string you create is correct, go to https://ribbs.usps.gov/index.cfm?page=encodertool to verify your barcode string.

SETUP: See Records and Records Config for any applicable prerequisites, dependencies and setup information for this task.
Steps
-
In the Maintain Mailing Address Barcode Setup screen, make a selection from the Barcode type drop-down list. The barcode identifies the mailing presort characteristics.
NOTE: The USPS assigns the barcode identifier and uses it to encode the presort identification that is currently printed in human readable form on the optional endorsement line (OEL).
-
Select the Service type from the drop-down list. Standard Mail is the default.
NOTE: The USPS assigns this list for any combination of services requested on the mail piece. It conforms to USPS OneCode Confirm™ and/or OneCode ACS™ standards. Selections identify special services requested, such as printed matter, business replay mail, first class, periodicals, etc.
-
Enter a 6-digit or 9-digit Mailer identifier number. This is the USPS standard Mailer ID, a 6-digit or 9-digit number that uniquely identifies the mail owner or mailing agent.
NOTE: The USPS assigns the Mailer ID. It can be a 9-digit or 6-digit number, depending on the annual mail volume of the mailer. The ID is used in Intelligent Mail barcodes, Intelligent Mail tray barcodes, and Intelligent Mail container barcodes. Mailer IDs are also identified in electronic mailing documentation submitted with full-service mailings.
-
Enter a 6-digit or 9-digit Serial number, a USPS standard which uniquely identifies the mail piece or mailing.
NOTE: This serial number is assigned by you, the mailer, to uniquely identify and track mail pieces. The allowable encoding is based on whether the USPS assigned you a 6-digit or a 9-digit Mailer ID number. Allowable digits are 000000000–999999999 when used with a 6 digit Mailer ID and 000000-999999 when used with a 9 digit Mailer ID
See the table above to determine whether to enter a 6- or 9-digit serial number based on the Mailer Identifier the USPS assigns to you. The number of digits are opposite of the Mailer identification, i.e., if you are assigned a 6-digit Mailer Identifier number, your serial number is 9 digits; and if you are assigned a 9-digit Mailer Identifier number, your serial number is 6 digits. This serial number applies to all addresses when batch updating barcodes.
-
Enter a 0-, 5-, 9- or 11-digit Unique serial number.
NOTE: This serial number is assigned by you, the mailer, and is used to uniquely identify each piece of mail for the USPS full-service barcode option. When you enter a value in this field, if you choose to assign unique serial numbers during batch barcoding update, Aumentum automatically assigns a unique, sequenced, incremental serial number to each mail piece, starting with the number you define in this field (e.g., enter the number of 10, and the next automatically system-assigned unique number in the series will be 11).
NOTE: The next step in the barcode maintenance process before mailing would typically be to batch apply barcodes to one or multiple revenue objects using the Update Intelligent Mail Barcode screen. When you select the revenue objects to which to apply the barcodes, they are applied automatically to three addresses:
-
Revenue object address
-
Owner mailing address
-
Associated legal party address, if any
