Concurrency (Record Locking)

Description

Concurrency Maintenance prevents multiple users from opening a record and making changes at the same time. More than one person can view a record, but only one person can make changes. If two people have a record open at the same time, the one who begins working in the record first has priority and the other user is locked out.  

Open records are tracked and locked while being edited and unlocked after they have been closed.

Sometimes the system will fail to unlock a record when it is no longer being updated, for example, if there is an error when shutting down the application. Unnecessarily locked records can be unlocked from this screen.

IMPORTANT: This program should be used with care to make sure that records that should remain locked are not deleted. Access to this program should be restricted to the system administrator or your Aumentum Support representative.

Steps

  1. Click checkboxes for the Object Type(s) you want to unlock.

  2. Click Unlock Selected to unlock the records that are locked or click Unlock All to unlock all locked records.

  3. To edit concurrency information for a particular item, click the Edit button in the desired grid row. The View Concurrency Information screen is opened so that you can edit the concurrency information.

  4. Review the information for the locked record:

    • Object Type/Description – The type of record that is locked, such as a revenue object or legal party.

    • Object ID – The unique identifier locating the object in the database.

    • Process type – The type of process during which the record was locked.

    • User login – The user ID of the person who was editing the record.

    • Lock time stamp – The date and time the record was locked.

    • Lock Type/Description – The type of lock placed on the record. For example:

      • Read Only – Record can be viewed but not edited.
      • Read/Write – The record can be both viewed and edited.
      • Exclusive – The record can only be edited by one user at a time.
      • Dirty Read – The record viewed might not be the most up-to-date record; no automatic update or refresh.
    • Task name – The task in which the object is being edited.

    • Calling function – The function which called the object.

    • IP address – The Internet Protocol address identifying the user's computer on a TCP/IP network.

    • Workstation ID – The name of the computer on which the object is locked.

    • Mac address – The Media Access Control address of the computer on which the object is locked. This is a hardware address that uniquely identifies each node of a network.

    • Effective date – The effective date of the record.

    • Effective tax year – The effective tax year of the record.

  5. Click Delete to remove the lock, if necessary. A confirmation message appears. Click OK on the confirmation pop-up, or click Cancel to cancel the unlocking.

  6. Click List to return to Maintain Concurrency.

    • Click Close to end the task.
